Privacy Policy
Last updated 18 September 2026
This policy explains what personal data RespondedBy.ai (“RespondedBy”, “we”, “us”) collects, why we collect it, and what rights you have over it. It covers both visitors to respondedby.ai and people who receive outreach we send on behalf of clients.
Information we collect
When you contact us. If you book a call or get in touch, we collect the details you provide, such as your name, email address, company and anything you tell us about your business.
When you visit the site. Our hosting provider records standard technical information including IP address, browser type and the pages requested. This is used to keep the site running and secure.
Business contact data. To run outbound campaigns for clients we process business contact information, typically name, job title, company, business email address and publicly available company details, sourced from public listings and commercial data providers.
How we use it
We use personal data to respond to enquiries, deliver and improve our services, run and measure outbound campaigns for clients, and meet our legal obligations. We do not sell personal data.
Legal basis
Where data protection law requires a legal basis, we rely on legitimate interests for business-to-business outreach and for operating our website, on the performance of a contract where you are a client, and on consent where consent is required. You can object to processing based on legitimate interests at any time.
If you received an email from us
We contact people in a professional capacity about services relevant to their role. Every message includes a way to opt out. If you would rather not hear from us, reply to the email asking to be removed, or write to the address below, and we will suppress your details so you are not contacted again.
Sharing
We share data with service providers who help us operate, including hosting, analytics, email infrastructure, CRM and scheduling tools. They process data on our instructions. Where we run campaigns for a client, replies and booked meetings are shared with that client, who becomes responsible for the data they then hold.
Retention
We keep personal data only as long as needed for the purpose it was collected, or as required by law. Suppression records are kept indefinitely so that opt-out requests continue to be honoured.
Your rights
Depending on where you live, you may have the right to access the personal data we hold about you, to have it corrected or deleted, to object to or restrict processing, and to receive a copy in portable form. To exercise any of these, use the contact details below. You also have the right to complain to your local data protection authority.
Cookies
The site uses only the cookies necessary to serve pages and keep the site secure. Third-party tools embedded on the site, such as our scheduling widget, may set their own cookies under their own policies.
Changes
We may update this policy. The version on this page is the current one, and the date above shows when it last changed.
